Privacy Policy

SafeVoice (“we”, “us”, “our”) is operated by Norbitech Groups on behalf of Woman & Girls' Health Empowerment Network (WGHEN), with support from NETHOPE. This Privacy Policy explains how we collect, use, store, and protect information when you use the SafeVoice website (safevoice.ng), mobile application, and related services. We comply with the Nigeria Data Protection Act (NDPA) 2023 and design our platform with survivor safety and data minimization as core principles.

1. Who This Policy Applies To

This policy applies to survivors and users who submit reports anonymously, create an account to track a case, use the mobile app, contact us, or browse our public website. NGO partners and administrators are subject to separate access agreements.

2. Information We Collect

Anonymous reporting: incident descriptions, optional location details, photos, audio, chat history with our AI assistant, and technical metadata needed to process your report. We do not require your name or email for anonymous submissions.

Registered accounts: name, email address, password (stored hashed), and reports linked to your account.

Mobile app: with your permission, GPS location for emergency SOS and optional report location; microphone access for voice evidence; photos from your camera or gallery; device information used only for case integrity (not advertising).

Website: we do not use tracking cookies or sell personal data. Limited server logs may be retained for security and are not used to identify anonymous reporters.

3. How We Use Your Information

We use collected information to: receive and triage reports; route cases to verified NGOs, legal aid, or authorities only when you request or when high-risk safety rules apply; let you track case status with your tracking ID; send secure messages between you and assigned caseworkers; improve platform safety; comply with law; and prevent abuse of the service.

4. Legal Basis & Consent

We process data based on your consent, vital interests (emergency safety), legitimate interests in operating a secure reporting platform, and legal obligations. Location, microphone, and media access on the mobile app are requested only when you use those features. You may withdraw consent by deleting local app data or contacting us, subject to limits where we must retain records for active investigations.

5. Encryption & Security

Sensitive report text, locations, and chat histories are encrypted at rest using AES-256. Uploaded images are stripped of EXIF/GPS metadata where possible and stored in private, access-controlled storage. Authentication tokens and PINs on your device are stored using platform secure storage. Only authorized WGHEN caseworkers and assigned partner organizations can access case details needed to help you.

6. Data Sharing

We do not sell or rent personal data. We share information only with: verified partner NGOs, legal aid providers, or law enforcement when you request police involvement or when a high-risk emergency escalation applies; infrastructure providers that host our servers under strict confidentiality; and authorities when required by valid Nigerian law. Shared data is limited to what is necessary for case response.

7. Data Retention & Deletion

We retain active case data only as long as needed to support you. Resolved cases are purged according to our retention schedule (typically within 30 days after resolution). You can use Wipe Local Data in the mobile app Settings to delete local drafts, session, PIN, and recordings on your device. Registered users can delete their account in Settings → Delete Account, or request server-side deletion at privacy@safevoice.ng.

8. Mobile App Permissions

Internet: required to submit reports and sync with our servers.
Location: used for SOS emergency alerts and optional incident location (only when you allow it).
Microphone: used to record voice statements you choose to attach.
Storage / photos: used to attach image evidence you select. You can deny permissions and still use text-based reporting where available.

9. Children's Privacy

SafeVoice is intended for users who can safely seek help regarding gender-based violence, including students on campus. We do not knowingly collect data from children under 13 without appropriate guardian involvement. If you believe a child has provided data improperly, contact us to request deletion.

10. International Transfers

Primary data is processed in Nigeria. If we use cloud or AI services outside Nigeria, we apply appropriate safeguards and minimize personal data sent to those services.

11. Your Rights (NDPA)

Under the NDPA 2023 you may request access, correction, deletion, restriction, or portability of personal data we hold about you, and lodge a complaint with the Nigeria Data Protection Commission. Contact privacy@safevoice.ng or visit safevoice.ng/contact.

12. Changes & Contact

We may update this policy from time to time. The effective date at the top will change when we do. Continued use of SafeVoice after updates means you accept the revised policy.
